The Process

Initial Consultation

To book a video consultation, a parent or guardian may access Marlow Learning’s Nextcloud Calendar app through the link below to schedule a 30-minute consultation. After you select an appointment time and complete the booking form, you will receive an automated email from [email protected] with payment instructions. If payment is not received within 24 hours, the consultation will be cancelled and the appointment time will be made available to others.

Upon paying the $50 Consultation Fee by credit card, debit card, or digital wallet you will receive an automated receipt from Stripe by email. Additionally, you will receive a second email from Marlow Learning containing your Nextcloud Talk video link for the consultation. As Marlow Learning must generate each video link manually, this second email will follow within 24 hours of your payment. For this reason, Marlow Learning does not offer same-day or next-day consultations.

During the consultation, we will discuss your student’s learning needs and academic goals, whether Marlow Learning’s services are the right fit for your family, and, if so, review Marlow Learning’s Tutoring Contract together. Consultations must be by video and not phone because the Tutoring Contract will be screen-shared for your review.

Nextcloud Accounts

Self-hosted on Canadian server infrastructure for optimal security and privacy, which you can read more about here, Nextcloud makes Marlow Learning’s online tutoring services possible by supporting appointment bookings, contract signings, student document uploads, video sessions, and messaging.

Following a successful initial consultation, you will receive a third email from Marlow Learning containing Nextcloud login credentials for each of you and your student. By providing two Nextcloud accounts with a shared folder, Marlow Learning allows you or your student to upload school documents, read Session Summary Letters, and review session video recordings while keeping contract, booking, and payment information isolated to the parent or guardian’s account and BookStack resource links and Nextcloud Talk video capability isolated to the student’s account.

Once logged into Nextcloud, the parent or guardian must complete Marlow Learning’s Intake Form and sign the Tutoring Contract with LibreSign. Within 24 hours, Marlow Learning will then provide a private session booking link and private Stripe payment link to the parent or guardian’s Nextcloud account. These links will be used for ongoing bookings and payments, and an automated Stripe receipt will be sent from [email protected] after each payment.

Following successful payment of the $175 Session Fee, Marlow Learning will provide the student’s account with a Nextcloud Talk link, which will also be used for any future tutoring sessions.

At least 48 hours prior to a tutoring session, either the student or the parent or guardian should upload to Nextcloud’s shared folder any school assignments or student work for review during the tutoring session.

Within 48 hours after a tutoring session, Marlow Learning will upload a Session Summary Letter to Nextcloud’s shared folder. Viewable by both the student and the parent or guardian, the Session Summary Letter will highlight what was accomplished during the tutoring session, what the student should work on prior to the next tutoring session, and, for long-term tutoring relationships, how the student’s literacy skills are progressing.

When appropriate, your student will receive BookStack login credentials via Nextcloud in order to access specially selected resources created by Marlow Learning.

Step-by-Step Guide

1. Book a Consultation

Use the booking link on this page to select an appointment time and complete the Booking Form. You will receive an automated email from [email protected] with payment instructions. Pay the $50 Consultation Fee by credit card, debit card, or digital wallet through Stripe. Payment must be completed within 24 hours or the appointment will be cancelled and the time made available to others. Upon successful payment, you will receive an automated Stripe receipt from [email protected].

2. Attend the Consultation

Within 24 hours of payment, you will receive an email from [email protected] containing your Nextcloud Talk video link for the consultation. While Marlow Learning’s contractual relationship will be with the parent or guardian, your student is encouraged to attend the initial consultation.

3. Set Up Your Nextcloud Accounts

Following a successful consultation, you will receive an email from [email protected] containing Nextcloud login credentials for both you and your student. Log in to complete the Intake Form and sign the Tutoring Contract with LibreSign. Within 24 hours, Marlow Learning will provide a private session booking link and a private Stripe payment link to the parent or guardian's Nextcloud account.

4. Book & Pay for Your Student's First Session

Use your private booking link to schedule your student's first tutoring session, then use your private Stripe payment link to pay the $175 Session Fee. You will receive an automated Stripe receipt from [email protected]. Within 24 hours of payment, Marlow Learning will provide a Nextcloud Talk video link to the student's account for the upcoming session.

5. Upload Your Student's Work

At least 48 hours before the tutoring session, upload any school assignments, writing drafts, or other relevant student work to Nextcloud's shared folder. Justin Marlow will spend up to one hour reviewing this material and preparing for the session in advance.

6. The Tutoring Session

Your student will attend the tutoring session via their Nextcloud Talk video link. All one-on-one sessions are conducted exclusively by video with Justin Marlow. Nextcloud Talk is accessible on any smartphone, tablet, or computer with a working camera and microphone. Mobile users can download the free Nextcloud Talk app for iOS or Android, while desktop and laptop users can join directly through a web browser with no installation required.

7. Receive the Session Summary

Within 48 hours of the session, Marlow Learning will upload a Session Summary Letter to Nextcloud's shared folder, visible to both the student and the parent or guardian. The letter will highlight what was accomplished, what the student should focus on before the next session, and, for long-term tutoring relationships, how the student's literacy skills are progressing. When appropriate, the student will also receive BookStack login credentials to access specially selected resources created by Marlow Learning.

8. Ongoing Tutoring

For additional tutoring sessions, repeat the booking, payment, upload, and session cycle using your private links. If a recurring schedule is arranged, you will not be asked to book each session individually, but payment is required 48 hours in advance of each session. Prepayment for multiple sessions is not supported.
